Shaftesbury Millie College is a 16 to 25yrs education setting helping young people with a range of learning and physical disabilities in Dorset and the local area, bridging the gap between education and employment.
It is a one-of-a-kind work environment, set on a 350acre countryside site near Poole. The college’s curriculum is directly aligned to its natural environment and the enterprise activities that operate there, including animal care, catering and retail, conservation and horticulture.

Job Purpose
Role Overview:
We are seeking a proactive and highly organised Admin Team Leader to join our staff team. In this role, you will provide essential clerical and administrative leadership and oversight to ensure the smooth running of college operations. You will also lead the admissions functions across Millie College and Victoria School, part of the Shaftesbury Education directorate. The ideal candidate will be forward thinking, highly adaptable, detail oriented, and committed to leading and maintaining a positive and productive environment.
Key Responsibilities:
· Consultations/Admissions: Lead the administrative work in the admissions process, ensuring documentation aligns with college standards and regulatory requirements across the sites.
· Annual Reviews: Oversee the co-ordination of meetings, documentation and communication of the annual review process.
· Clerical Support: Manage the scheduling of appointments and arrange meetings with students, parents, and professionals, producing, collating, and distributing reports, letters, and documents as needed.
· Minute Taking & Proofreading: Accurately capture meeting notes and provide proof-reading support.
· Data & Systems Management: Oversee the maintenance of electronic and paper-based files, spreadsheets, and databases. Manage the online Management Information Systems (MIS) alongside MIS leads.
· Compliance & Records: Lead the administration of the Individualised Learner Records (ILR), and prepare information for audits following Millie College and Ofsted standards.
· Communication: Respond to verbal and written inquiries from internal and external parties, ensuring prompt and helpful service.
· Reception Duties (as and when required): Meet, greet, and direct visitors, managing the college diary and notifying staff of visitors and guests.

Essential Skills & Qualifications:
· Strong organisational skills and attention to detail.
· Excellent communication and interpersonal skills.
· Excellent MS Office skills and other information management systems.
· Ability to work independently and collaboratively in a dynamic setting.
· Prior experience in administrative support, preferably in an educational or healthcare environment.
